    It has been a busy EMIS week!  A few things have become "frequently asked questions" - so will post some here to help everyone.
     
    Future withdraw dates - For those of you who have entered future dates, like graduation for example, you have seen a warning on the agg5 - this is ok and will go away once we get to that future date.  Sounds like a riddle, but that's what EMIS always is, a riddle.  If you enter your graduation date as 5/29/10 then the graduates will extract with a w/d date of 5/29/10 which is "in the future" so you have a warning on your agg5.  Once we get to 5/29/10 and you run the agg5 - the warning disappears.
     
    Remember what we've said about not having two IEPs...it's like a will - you can only  have one at at time.  Now that folks are entering IEPs for PS moving to KG the Unicenter tickets are rolling in - just remember you report the outcome that is in place at the time of the event.
     
    More DAWN rules will be added next week to help you clean your data.  We are going to add one for missing pre-transition - but right now that's over 4,000 students across the consortium - please be checking that pre-transition screen for every building....it's very important for YET.

  • DAWN Additions

     A few new rules will be added to DAWN.  They will show up beginning Wednesday, May 19.  We'll explain them in detail at our EMIS meeting - but in case you log in and see them early Wednesday - wanted to give you all a heads-up.

  • EMIS-R tidbits

    None of this is "official", but just some interesting (to me at least) tidbits about EMIS-R.  ODE and Edustructures has something in the neighborhood of 250 MILLION lines of data to move from the old system into the new operational data store - WOW!  No wonder it's taking awhile to accomplish!

    The SSID agent is ready for us to deploy - watch for news on that next week - we will probably start with a few districts at a time until we get everyone on line for that.  You will get emails then when there is a problem with assigning an SSID.

    We have the Data Collector offline right now - there's no collection request from ODE anyway - so it does not matter, we hear there are some updates coming for that, so we are waiting patiently!

  • DAWN Ideas

     We have heard some good feedback about DAWN - please be sure to email ideas for DAWN validations to Lisa@treca.org; Jennifer@treca.org and Carol@treca.org.

    These suggestions do not have to be limited to agg5 errors.  If you have other ideas we are open to reviewing to see if DAWN can validate them.

  • DAWN Announced

    We are pleased to announce that we are ready to begin a shake-down cruise for DAWN – our eSIS validation messenger.   Hopefully you all remember that DAWN is going to find errors in the eSIS data that will impact EMIS reporting.

     

    To begin, DAWN has 3 things she is validating:

     

    1.       SSID – if she finds an SSID that is not two letters followed by seven numbers, she will flag that as an error

    2.       End date before Start Date on an EMIS detail record that begins after 6/30/2009.    This one is down to the date/hour/minute/second – so a record that begins on 9/25/09 09:10:15 and ends 9/25/2009 08:10:15 will be caught by DAWN as this record ends one hour before it starts.

    3.       Missing year entered 9th grade.  DAWN will look at all students who are currently grade 9,10,11,12, and 23 and return as errors any students without a grade nine entry date.

     

    We have many more rules to add, but are starting here and looking for feedback on what other rules you would find helpful.

     

    Here’s how we’ll begin our test:

     

    1.       Beginning today - EMIS Coordinators can log into the Nightly database and navigate to DAWN.  The screen that comes up will list the errors DAWN has found.  Feel free to click around and check it out – you can’t hurt anything – you’re in Nightly!  If you want to “fix” a record, just click on fix – DAWN will take you to the screen where the fix is needed.  If you want to “hide” a record, you can click on “hide” and come back to “fix” it later.

    2.       Beginning Friday when you log in to PROD – you will see the DAWN screen pop-up.  If you have no errors, you simply exit through the door.  If you have errors and want to work on them, proceed to fix them.  If you want to fix them later, exit the door and navigate to DAWN later.

    3.       Eventually we will offer you the opportunity to have DAWN pop up for the user who created the error – if you choose to do this.  The user will see the same screen you do – only limited to errors their name is associated with.  They can choose to fix the error or transfer it up to you.  (You cannot transfer down to them, FYI.)

     

    We will hold an Elluminate session focused on DAWN on Friday morning at 10:00 a.m.  Join us then for a demonstration if you’d like (link will be sent soon).   If you have suggestions for validations for DAWN  - please email them to Lisa/Carol/Jennifer and we’ll see about adding validations.

    With all the changes we are seeing with EMIS - we thought we'd create a blog to give you another avenue to keep informed.  We'll post updates here when we have known issues; date changes; etc.
